Médecins San Frontières (HK) Limited, its subsidiaries and affiliates (“MSFHK”, “we”, “us”) may collect, process, maintain, transfer and store various types of personal data, either in electronic and/or physical forms, for review or determination of employment opportunities with MSFHK. MSFHK is committed to protect your personal data in accordance with the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486) and the EU General Data Protection Regulation.
MSFHK may collect personal data directly when you submit your job application by post, email, or through our websites. Personal data may also be collected indirectly such as through professional recruitment firms, applicant’s references, past employers, employment background check providers, etc. We may also acquire information through social media channels and other publicly available information.
The personal data MSFHK collects including without limitation, the applicant’s name, personal identifier, nationality, gender, email address, residential address, telephone number, residency status, academic background, professional qualification, past employment history, employment test results etc. Provision of accurate information is necessary, except those items clearly marked as optional. Your application will not be considered if you fail to provide all information as requested or it is not clear from your application that you have the minimum qualifications, training, experience or other requirements specified for the job.
MSFHK uses applicants’ personal data only for recruitment and employment related purposes. This includes resume screening, assessment tests, assessment interviews, background checks and/or medical checks either by MSFHK or through any third party appointed by MSFHK, determining remuneration and benefits package to be offered.
Personal data collected by MSFHK for recruitment purposes will be kept confidential and will be made available only for persons related to the recruitment process, including relevant staff members of Human Resources Department, hiring managers or his/her delegate(s), service providers who assist MSFHK to handle recruitment related matters such as qualification assessments, employer reference or integrity checks. In addition, MSFHK may disclose personal data to the following parties, whether within or outside the Hong Kong Special Administrative Region:
i. any agent, independent contractor, bank, financial institution or third-party service provider who provides administrative, telecommunications, computer, pre-employment screening, background checks, banking or other services to MSFHK in connection with the recruitment or employment issues;
ii. any other person under a duty of confidentiality to MSFHK including any subsidiaries, affiliate or group member of MSFHK which has undertaken to keep such information confidential; and
iii. any person to whom MSFHK is under an obligation or otherwise required to make disclosure under the requirements of any law binding on or applying to MSFHK, or any disclosure under and for the purposes of any orders or guidance given or issued by any courts, legal, regulatory, governmental, law enforcement or other authorities with which MSFHK is required to comply, all of which may be existing currently and in the future.
For successful applicants, personal data collected during the recruitment process will become part of their personal records and will be used for employment purposes. After the application for employment is successful, data about successful applicants may also be collected, maintained and stored during the period of their employment with MSFHK.
As far as it is permissible under the applicable laws, for unsuccessful applications, it is our policy to retain their personal data, for a period of no longer than 2 years, for future recruitment purposes in case there are suitable vacancies for the applicants.
If applicants wish to request to access, correct or update their personal data held by MSFHK, they should submit their request(s) in writing to MSFHK, by completing the Data Access Request Form specified by the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486). In accordance with the provisions of such Ordinance, MSFHK reserves the right to charge a reasonable fee for the processing of any data access request. If the applicants wish to exercise the right to erasure under the EU General Data Protection Regulation, they should submit their request(s) in writing.
